How to Create a Table of Contents in Word: Build the Heading Hierarchy First

An automatic table reads heading styles in the document body. Set the hierarchy first, insert the table, and update the entire table whenever the structure changes.

Direct answer: Apply Heading 1, Heading 2, and Heading 3 to body headings. Insert an automatic table from References → Table of Contents, then update the entire table after the document changes.

Do Three Things Before Creating the Table

The table reads heading styles and outline levels. Manually enlarging or bolding text does not establish a heading hierarchy.

Choose the hierarchy

Use Heading 1 for chapters, Heading 2 for sections, and Heading 3 for subsections.

Apply styles

Select the complete heading paragraph and apply its heading style from the Styles gallery.

Check page breaks

Use page or section breaks around the table instead of repeated blank paragraphs.

Create an Automatic Table of Contents in Three Steps

Microsoft Word and WPS use slightly different menu labels but follow the same principle.

  1. 01

    Set heading styles

Check every chapter, section, and subsection and apply Heading 1, 2, or 3. Font formatting alone does not create a level.

  2. 02

    Insert the automatic table

Place the cursor on the contents page and choose an automatic table under References → Table of Contents. WPS provides the same command under References.

  3. 03

    Update the entire table

After renaming, adding, deleting, or moving headings, right-click the table and update the entire table.

How Heading Levels Map to Table Levels

The body must have a valid structure before the table can remain stable.

Body elementRecommended styleTable appearance
Chapter: 1 IntroductionHeading 1Top-level entry, usually flush left
Section: 1.1 BackgroundHeading 2Second-level entry, indented once
Subsection: 1.1.1 Problem DefinitionHeading 3Third-level entry, indented again

When to Update Page Numbers or the Entire Table

Choosing the wrong update option commonly leaves headings missing.

Update page numbers only

Use this when heading text and levels have not changed but body edits moved their page numbers.

Update the entire table

Use this after adding, deleting, renaming, or changing heading levels. Choose it whenever you are unsure.

Use Custom Table of Contents to change dot leaders, page-number alignment, or displayed levels. Do not edit generated entries line by line because the next update overwrites manual changes.

Troubleshooting Automatic Tables of Contents

Fix the body structure first and then update the table; do not patch missing text inside the table itself.

  • Heading missing: check whether the paragraph has a heading style.
  • Body text appears: restore the Normal style or lower its outline level.
  • Only level one appears: increase the displayed levels in Custom Table of Contents.
  • Wrong page number: fix page and section breaks, then update the entire table.
  • Uneven dot leaders: set tab leaders in Custom Table of Contents.
  • Formatting resets: modify the TOC 1/2/3 styles instead of editing entries individually.
  • Links do not jump: reinsert an automatic table with hyperlinks enabled.
  • Blank table: check whether headings are inside text boxes or another non-body area.

Frequently Asked Questions

How do I create an automatic table of contents in Word?

Apply Heading 1, Heading 2, and Heading 3 to chapters, sections, and subsections. Place the cursor on the contents page and insert an automatic table from References → Table of Contents.

Why are some headings missing?

The paragraph probably has only manual font formatting rather than a heading style, or the custom table displays too few levels. Fix the style and update the entire table.

How do I update page numbers after editing the body?

Right-click the table and choose Update Field or Update Table. Update page numbers only if headings are unchanged; update the entire table after adding, deleting, or renaming headings.
